The Administrative Assistant to the CEO will manage the CEO's calendar, coordinate communications, and ensure the efficient execution of daily activities. Responsibilities β’ Coordinate and manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements. β’ Prioritize and optimize the CEO's time, ensuring alignment with strategic priorities and business objectives. β’ Serve as the primary point of contact for internal and external stakeholders, screening and managing incoming calls, emails, and correspondence. β’ Draft, edit, and proofread documents, presentations, and reports on behalf of the CEO β’ Prepare meeting agendas, materials, and presentations, ensuring the CEO is well-prepared for all engagements. β’ Attend meetings with the CEO, take notes, and follow up on action items as needed. β’ Handle sensitive and confidential information with the utmost discretion and professionalism. β’ Maintain confidentiality in all communications and interactions, exercising sound judgment and integrity. Skills β’ Proven experience as an executive assistant or personal assistant, preferably supporting C-level executives. β’ Excellent organizational and time-management skills, with the ability to prioritize tasks and manage multiple deadlines effectively. β’ Strong communication and interpersonal skills, with the ability to interact confidently and professionally with stakeholders at all levels. β’ Proficiency in English is required. β’ Proficiency in Google Workspace, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. β’ Exceptional attention to detail and accuracy, with a commitment to delivering high-quality work. β’ Discretion and integrity in handling confidential information and sensitive matters. β’ Flexibility and adaptability to meet the changing needs and demands of the role. β’ Strong problem-solving skills and the ability to think critically and proactively anticipate needs. β’ Ability to work independently with minimal supervision and as part of a team in a fast-paced environment. β’ Bachelor's degree in Business Administration, Communications, or related field preferred but not required. β’ Proficiency in Spanish at professional level is highly preferred.
