Project Overview:
We are at the early (Phase 0) stage of a SharePoint Online / Microsoft 365 initiative and are seeking an experienced SharePoint Online Architect / Information Architect to help us establish a strong foundation for long-term, cross-functional collaboration.
The immediate goal of this engagement is to design and document a v1.0 Information Architecture and M365 Collaboration & Automation Architecture for our first SharePoint Online site, which will ultimately serve as part of a broader hub-and-spoke SharePoint architecture supporting multiple departments (e.g., Operations, HR, IT, Marketing, Finance).
This is a design and discovery-focused engagement, not an implementation-heavy role.
Phase 0 Objectives:
During Phase 0, you will collaborate with our Operations Leadership team to:
- Design an Operations-Delivery SharePoint Online site that will serve as a centralized navigation and collaboration point
- Solicit and translate business requirements into clear architectural artifacts
- Establish patterns and standards that will scale as additional department sites are added to the hub
Successful completion of Phase 0 may unlock future phases (Phase 1, Phase 2, etc.) involving implementation, automation, and optimization.
Scope of Work (Phase 0):
You will work with internal stakeholders to produce the following:
1. Information Architecture (IA) Diagram – v1.0
A site map–style diagram that incorporates one or more of the following, based on stakeholder requirements:
- Sites and sub-sites
- Navigation structure
- Content ownership models
- Audiences and access considerations
2. M365 Collaboration & Automation Architecture Diagram – v1.0
A conceptual architecture diagram that overlays SharePoint Online with supporting Microsoft 365 services, which may include:
- SharePoint Online (Hub site + conceptual future sites)
- Power Automate flows
- Logic Apps (if applicable)
- Triggers, events, and integrations (e.g., Teams enablement, Forms, approvals)
- Conceptual data movement between sites
- Approval workflows
- Document libraries, folders, subfolders
- Access control and grouping mechanisms (SharePoint permissions, M365 groups, etc.)
3. Migration Approach (Conceptual)
- High-level documentation describing a technical or tooling approach for migrating existing content into the future Operations-Delivery document libraries and folder structures (scripts, tooling, or phased approach)
Out of Scope for Phase 0:
To be explicit, Phase 0 does not include:
- Full SharePoint site build-out
- Content migration execution
- Power Automate or Logic App implementation
This phase is about clarity, structure, and architectural direction.
Ideal Candidate Profile:
We are looking for someone who:
- Has deep SharePoint Online experience (architecture, not just administration)
- Understands Information Architecture principles
- Has designed hub-and-spoke SharePoint environments
- Is comfortable collaborating with leadership and translating requirements into diagrams
- Has working knowledge of Power Automate / Logic Apps (conceptual design level is sufficient)
- Can clearly document decisions and assumptions
- Experience delivering architecture diagrams and design artifacts is critical.

This engagement is intentionally scoped as Phase 0. If the engagement is successful, there is strong potential for:
- Phase 1 implementation work
- Power Automate and workflow development
- Expansion to additional department sites
- Long-term advisory or architecture support
