Location: Remote but must work Pacific Time hours

Type: Full time contractor

Reports directly to: Founder and CEO

Compensation: 2500 to 3500 per month based on experience

About the Role

We are hiring a Remote Operations Manager to act as the central command for a fast moving founder who leads multiple companies in real estate, media, coaching, and personal brand.

This is not a basic virtual assistant role.

You will function as a remote Chief of Staff and Operations Lead, responsible for organizing chaos, building systems, managing other virtual assistants, and protecting the CEO’s time.

Your success will be measured by one thing:

How much you remove the founder from day to day operations while improving execution across the business.

Your Mission

Turn a high output, high opportunity environment into a structured, system driven operation that runs smoothly without constant founder involvement.

Key Responsibilities

1. Operations Leadership

  • Serve as the main point of coordination for all remote team members
  • Manage workload distribution across virtual assistants
  • Run weekly operations check ins with the CEO
  • Act as a gatekeeper to protect the CEO’s time

2. Systems and SOP Development

  • Document recurring processes into clear step by step SOPs
  • Build workflows for marketing, communication, recruiting support, and admin
  • Continuously improve systems to reduce manual involvement from leadership

3. Project Management

  • Track moving projects across multiple businesses
  • Ensure deadlines are met without the CEO chasing people
  • Organize priorities and keep initiatives moving forward

4. Communication Oversight

  • Help implement inbox and calendar systems
  • Create response guidelines for other VAs replying on behalf of the CEO
  • Ensure follow ups do not fall through the cracks

5. Team Building

  • Assist in hiring additional VAs as the team grows
  • Train and onboard new remote team members
  • Maintain accountability and performance standards
