Job Description
SewerAI Corporation is transforming underground infrastructure management through AI-powered inspection and risk analysis. They are seeking a Recruitment Coordinator to support recruiting operations, manage candidate experiences, and assist with onboarding logistics. This role requires strong organizational skills and a people-first approach to help ensure a smooth hiring process.
Responsibilities
- Coordinate interview scheduling across multiple calendars, time zones, and stakeholder groups
- Communicate with candidates professionally and promptly; ensure a high-touch, polished experience
- Prepare interview details (Zoom links, onsite logistics, etc) and send confirmations/reminders
- Track candidate progress through the interview process and help keep processes moving
- Create/edit templates for candidate communications
- Coordination and ownership of recruiting matrix and reporting
- Reference Checks when needed
- Post roles across job boards, LinkedIn, and our careers page; manage reposting/refreshing as needed
- Maintain clean pipeline data in our ATS (stages, notes, tags, disposition reasons)
- Support the Senior Recruiter with candidate outreach coordination and follow-ups
- Assist with collecting candidate feedback in a timely manner
- Coordinate onboarding logistics for new hires (ordering new hire equipment, start date confirmations, initiate background checks and other pre-boarding steps, mailing out new hire kits)
- Partner with hiring managers and People Ops to ensure new hires are set up for a smooth Day 1 experience
- Help organize onboarding materials
- Support light office operations: welcoming visitors/candidates, coordinating conference rooms, and keeping shared spaces organized
- Assist with ordering office supplies/food
- Assist with occasional in-office tasks (mail/packages, supplies, basic coordination for office meetings & team onsite days, scheduling coordination with Co-Founders & Leaders)
- Over time, take on responsibility to recruit select entry-level roles (coordinating screens, supporting offer process, and maintaining pipeline health)
- Opportunities to proactively source candidates
- Support HR & Recruiting projects such as process improvements, templates, reporting, and candidate experience initiatives
Skills
- 1–3 years of experience in recruiting coordination, HR/People Ops, scheduling, or administrative support (or equivalent)
- Strong attention to detail and comfort juggling multiple priorities
- Clear, professional written and verbal communication
- High accountability and follow-through—you like closing loops
- Comfortable using an ATS and Google Workspace (Docs/Sheets/Calendar); quick to learn new tools
- Positive, helpful presence—candidates and teammates enjoy working with you
- Experience supporting onboarding or HR admin workflows
- Familiarity with sourcing platforms (LinkedIn Recruiter & Ashby) and job boards
- Experience coordinating onsite interviews and office logistics
