Your Role
As the Executive Assistant, you’ll act as a force multiplier for the CTO — ensuring their time is optimized, priorities are clear, and nothing falls through the cracks.
- This is a high-responsibility role where you’ll manage both professional and personal operations, make prioritization decisions, and operate with a high level of trust and autonomy.You’ll:
- Own and manage the CTO’s calendar and inbox, including drafting responses and making prioritization decisions
- Coordinate meetings across multiple time zones, resolving conflicts proactively
- Plan and execute complex travel arrangements (multi-location, multi-person)
- Track tasks, follow-ups, and priorities across conversations and tools
- Handle personal logistics such as appointments, errands, and scheduling
- Conduct research on tools, vendors, and services when needed
- Maintain organization across tools like Notion, Slack, and Google Workspace
- Suggest and implement improvements to systems, workflows, and processes
- You Bring:
- 3+ years supporting C-level executives or founders in fast-paced environments
- Proven experience managing inbox, calendar, and scheduling independently
- Strong executive judgment and ability to make decisions without constant check-ins
- Exceptional organization and attention to detail
- Experience coordinating complex travel and logistics
- Strong written and spoken English communication
- High level of discretion, professionalism, and reliability
- Comfort with tools like Notion (strongly preferred), Google Calendar, Slack
- Ability to work with Pacific Time overlap
