Job Description

Job Overview We are seeking a detail-oriented and proactive Accounting & Administrative Associate to support US-based clients with their accounting, financial, and operational needs. This role combines hands-on bookkeeping, financial reporting, administrative support, and light business advisory work. The ideal candidate has strong QuickBooks experience, a solid understanding of US GAAP, and the ability to manage multiple clients effectively. Key Responsibilities Administrative β€’ Communicate directly with clients via email and phone to address financial and operational inquiries. β€’ Scan, organize, file, and maintain financial and accounting documentation. β€’ Assist in preparing and reviewing contracts and other business agreements. β€’ Ensure accurate record-keeping and proper document backup for each client. Accounting & Finance β€’ Prepare financial statements, including consolidated reports when required. β€’ Perform month-end bookkeeping activities, including bank and credit card reconciliations and financial adjustments. β€’ Manage Accounts Receivable, including invoicing, collections, and payment processing. β€’ Handle Accounts Payable, including entering bills and processing payments. β€’ Oversee payroll activities, including running payroll and making necessary corrections. β€’ Maintain and update financial data in QuickBooks Desktop, QuickBooks Online, and other accounting systems. β€’ Analyze financial data and provide insights to support business decision-making. Business Development & Advisory β€’ Collaborate with business owners to identify growth opportunities. β€’ Support clients in implementing efficient financial and operational processes. β€’ Contribute to strategies aimed at improving profitability and scalability. Skills & Qualifications Required β€’ Strong knowledge of accounting principles and financial reporting. β€’ Hands-on experience with QuickBooks (Desktop and/or Online) β€” no platform training will be provided. β€’ Solid understanding of US GAAP, as clients are US-based. β€’ Excellent written and verbal communication skills in English. β€’ Strong organizational and time-management skills with the ability to handle multiple clients. β€’ Ability to analyze financial data and translate it into actionable insights. β€’ Fluency in English.
