Note: The job is a remote job and is open to candidates in USA. WIT is a leading gamification platform that enhances customer engagement for consumer brands and sports teams. They are seeking an organized Operations Coordinator to support operational efficiency, collaborating with various departments to manage workflows, onboarding, and financial operations.
Responsibilities
- Assist with processing invoices, ensuring accuracy and timely delivery
- Track and process legal invoices
- Track incoming payments and follow up on outstanding balances
- Support internal financial workflows and maintain organized records
- Help track revenue across upsells and renewals to ensure accurate reporting
- Collaborate with Sales and Partner Success team members to ensure contracts, invoicing, and revenue are aligned and up to date
- Assist in maintaining accurate financial data across systems to support reporting and forecasting
- Help track expenses to ensure budgets are up to date and documentation is organized
- Help onboard new employees, including getting them set up with tools, access, and the right documentation
- Support internal logistics by making sure new hires have the equipment, tools, and access they need, and coordinating across teams
- Keep employee and operational documentation organized and up to date
- Draft email correspondence on behalf of the Director of Operations and CEO
- Assist with internal and external communications, ensuring clarity, professionalism, and alignment with WITβs branding and overall tone of voice
- Provide general administrative support to leadership as needed
- Support planning for the Annual Team Summit and Department Offsites
- Assist with partner and prospect gifting, including coordination, tracking, and execution
- Assist with sales outreach efforts, including preparing materials and supporting follow-ups
- Help build and update activation demos and sales decks to support the CEOβs sales initiatives
- Collaborate cross-functionally to gather inputs for sales decks and demos
- Proofread client-facing materials to ensure accuracy, consistency, and alignment with WITβs brand standards
- Ensure all deliverables meet WITβs quality standards before being shared externally
Skills
- 1-2 years of experience in operations, finance, business administration, or a related field
- Bachelor's Degree
- High level of attention to detail and fast response time
- Basic understanding of financial operations, including invoicing, payment tracking, or expense management
- Familiarity with Excel or Google Sheets, including working with basic formulas
- Comfortable using Google Drive, Google Slides, Google Sheets, and tools like DocSend
- Strong written communication skills, including drafting and proofreading emails and client-facing materials
- Organized and able to manage multiple tasks and deadlines
- Positive attitude with a willingness to learn, take ownership, and grow within the role
- Interest in sports, entertainment, consumer brands, or digital marketing is a plus
