About the position
ORIX USA is seeking an experienced Japanese bilingual Sr Administrative Assistant to support a senior executive and the CEO Office. The ideal candidate will be fluent in Japanese and English, and demonstrate exceptional professionalism, discretion, and business acumen. This role involves providing high-level administrative support to a senior executive of the CEO Office.
- Responsibilities
- Provide dedicated support to the senior executive and his team, anticipating needs and ensuring smooth workflow.
- Manage calendars, schedule meetings, and coordinate domestic and international travel arrangements.
- Handle expense reports, invoices, and other financial administrative tasks.
- Answer calls, manage correspondence, and maintain a high level of confidentiality in communication.
- Perform general administrative duties including filing, copying, shipping, ordering office supplies, and technology setup.
- Organize offsite events and meetings, including venue research, catering, and technology setup.
- Prepare and maintain meeting documents, files, and presentations.
- Host and coordinate visits of guests and senior executives, including Tokyo HQ representatives.
- Serve as backup to other administrative staff as needed.
- Provide support during evenings and weekends remotely as needed
- Requirements
- Bachelorβs degree preferred.
- 2-3 years of experience preferred.
- Fluent in Japanese and English (spoken and written).
- High proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel).
- Strong judgment, discretion, and confidentiality.
- Excellent organizational, communication, and interpersonal skills.
- Ability to manage multiple priorities, meet deadlines, and adapt in a fast-paced environment.
- Professional business demeanor with attention to detail.
- Positive attitude, consistent temperament, and ethical behavior.
- Proactive, detail-oriented, and deadline-driven.
