Virtual/Executive Assistant for Growing Psychology Practice

Are you confident on the phone, highly organized, and skilled at handling scheduling, marketing, and operations? We’re seeking a Virtual/Executive Assistant who can take the lead on client intake and scheduling, assist with marketing initiatives, and help the practice run smoothly behind the scenes.

You’ll play a vital role in supporting our growing child and family psychology practice by answering calls, scheduling clients, streamlining systems, and contributing to marketing efforts. Requirements:

  • Experience answering phones, scheduling clients, and managing communication in a healthcare or mental health setting
  • Reliable and available for calls throughout the day (9 AM – 8 PM EST)
  • Strong communication skills and a compassionate, professional phone presence
  • Proven ability to support marketing and operations projects
  • Comfortable using a CRM to track leads, communications, and scheduling
  • Proficient in Google Workspace (Docs, Sheets, Calendar, Gmail)
  • Understanding of SEO best practices and how to apply them to web content
  • Organized, proactive, and confident leading day-to-day tasks and internal systems
  • Comfortable gently holding others accountable by sending reminders, checking in on deadlines, and keeping things moving
  • Receptive to constructive feedback
  • Self-directed and able to work independently

Key Responsibilities:

Answer and return calls, texts, and emails between 9 AM – 8 PM EST using our VOIP phone app

Manage client scheduling and coordinate appointment logistics

  • Respond to new inquiries from phone, email, and online forms
  • Follow up with open leads and ensure timely communication
  • Assist with basic WordPress updates and applying SEO best practices to web content (if needed)
  • Assist with operations and systems, including updating documents, organizing workflows, and streamlining processes
  • Handle confidential employer, employee, and client information with professionalism

Starting at 15-20 hours per week with the potential for more as the practice grows
